Everyone has an idea of process management by now – whether they are a CEO or a team lead. For years we have talked about companies running on business processes, large or small.
People talk about processes constantly. In practice, far fewer organisations have actually mapped how work moves from A to B, then to C. We keep talking instead of drawing.
Processes need more than conversation – they need to be drawn, because everyone pictures a task differently. Like several people reading the same book: the characters and the setting look different in every head.
Visualisation adds another layer to communication and brings us closer to a shared meaning. We draw processes so we can think about them the same way.
Process management is worthless if the diagrams were made for the drawer: if colleagues do not open them and do not work by them. Companies often start with a drawing tool (Visio, Draw.io), then realise the diagram does not hold enough information – so they add spreadsheets for RACI, inputs, templates and guidance.
That creates two problems:
- When something changes – a new role, a new approval path – every Visio file and every Excel needs a manual update. One by one.
- Nobody except the process manager will keep both files open. Colleagues ask the person next to them instead, and even a once-good process slowly drifts. Complex modelling languages make this worse: average users will not learn the symbols, so they never open the exported PDFs and spreadsheets.
We saw this pattern across earlier projects. That is when this idea took shape:
Build software that works as a portal into how the company runs – reachable from anywhere, and easy enough that people have no reason not to use it.
Software is only a tool. If you do not fill it with real process assets, it is worthless. If nobody in your company has ever drawn a process before, I would not start with an OnlyProcess subscription alone.
OnlyProcess is a system – like an ERP, it only works when it holds the right data. That is why we created the Process Model package: in three months the software can create tangible value for your business. In those three months:
- A process facilitator aligns with your expectations → you nominate 6–8 SMEs (subject-matter experts) who do the work best. We interview them so quality content lands in OnlyProcess.
- Catalogue interviews define the process catalogue for the company or area → we learn which unique processes create value.
- Together we pick 10 value-creating processes from the catalogue → we propose, you decide what to map end to end.
- Each process gets an owner → we run process interviews with them and cross-check with others who may need to add detail.
- By the end of month three you have a team with shared process language, clear responsibilities, and process-management literacy. Your ten most important processes are mapped – with systems, documents and roles – and the knowledge is available to everyone.
After the project we also hand over the methodology and training materials. If you want to run more process-model work later, the know-how stays with you.
